Data we process

• Account data: name, email address, language, securely stored sign-in information and active sessions.
• Company and client data: company profile, services, client contact details, messages, notes, enquiries, quotes, quote items, PDF files and follow-ups.
• Service use: plan usage, security events and information needed to diagnose problems.
• Billing: selected plan, subscription status and period, and identifiers needed to confirm access. QuotePilot does not store full payment-card details.

Why we use data

Data is needed to create and protect accounts, provide the requested service, prepare quotes and PDFs, organize client communication, manage billing, provide support and meet legal obligations. Depending on the activity, processing may rely on a contract, a legal obligation, legitimate interests in security and support, or consent.

AI features

The AI wizard creates an editable draft from content supplied by the user. When a selected feature uses an external AI tool, the necessary content may be sent to that tool to generate a response. Do not enter data that is not needed for the quote. Every result must be reviewed by the user.

Payments

Stripe handles website payments, while Google Play handles Android subscription purchases. Payment-method details are entered directly in the selected service. QuotePilot receives only the information needed to identify the plan, payment and access period.

Who may process data

To operate QuotePilot, data may be processed by hosting and database services, transactional email, technical support, selected AI tools, Stripe and Google Play. Data may also be shared with advisers or public authorities where the law requires it. Each service applies its own data-protection terms.

Retention and deletion

Account and company data is kept while the service is used and for as long as needed for security, billing and legal obligations. A sign-in session expires within 30 days and a one-time password-reset link within 30 minutes. An account can be deleted in Settings → Account. Account deletion does not replace cancellation of an active subscription, and Stripe or Google Play may retain transaction records under applicable law and their own terms.

Your rights and contact

Subject to applicable law, you may request access, correction, deletion, restriction or portability of your data, or object to processing. Consent may be withdrawn without affecting earlier processing. You may also complain to the competent data-protection authority.
